FiveToClose ("we," "us," or "our") operates Email Fire Domain at https://emailfiredomain.com (the "Service"). Email Fire Domain is another product of the brand FiveToClose.cloud. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit the site, create an account, subscribe, connect mail infrastructure, or use the dashboard and warmup features.
By accessing or using the Service, you agree to this Privacy Policy together with our Terms of Service and Disclaimer. If you do not agree, do not use the Service.

2. Information we collect
2.1 Google account information (OAuth)
When you sign in with Google, we receive information Google authorizes for the scopes we request, typically including your name, email address, profile picture (if available), and unique Google subject identifier. We use this to create and authenticate your account. We do not receive or store your Google password.
2.2 Authenticator (2FA) data
After Google sign-in we require TOTP two-factor authentication (e.g. Google Authenticator, Authy, 1Password). We store a server-side TOTP secret associated with your account so we can verify codes you enter. We never see the contents of your authenticator app beyond the six-digit codes you submit for verification.
2.3 Payment and subscription data
Payments are processed by Stripe. We do not store full card numbers, CVV, or complete bank details on our servers. Stripe may provide us with subscription status, plan type, customer and subscription IDs, billing email, and limited card metadata (e.g. last four digits) needed to manage access. Stripe processes payment data under its own privacy policy and PCI standards.
2.4 Domain and mailbox connection data
When you use the Service you may provide:
- Domain names you add for warmup
- From-address / mailbox identity on that domain
- SMTP host, port, username, and password or app password
- IMAP host, port, username, and password or app password
- Ownership verification tokens and verification status
- Optional configuration notes related to sending setup
These credentials are used solely to operate the Service (authenticate to your mail servers, run warmup sends and engagement loops, and display status). Prefer app-specific passwords over your primary mailbox password where your provider allows it.
2.5 Warmup and usage data
We collect operational data generated by the Service, including:
- Warmup job status, ramp day, daily targets, and schedules
- Counts and logs related to sends, opens, spam detections, spam rescues, and replies (including simulated or network seed engagement metrics)
- Health scores, timestamps, and event history shown in your dashboard
- Actions you take (add domain, verify, start/pause, checkout, logout)
We do not require you to upload marketing "clicker" lists, AWeber lists, or customer prospect databases. Master Marketing–style seed engagement is designed so your protected marketing assets stay out of the warmup network.
2.6 Technical and log data
We automatically collect standard technical data such as IP address, user agent, browser type, device type, approximate location derived from IP, referrer, pages requested, and timestamps. We use cookies and similar technologies for signed sessions, OAuth state, security, and basic service operation.
2.7 Communications
If you email support@emailfiredomain.com, we collect the content of your message and any contact details you include so we can respond.
3. How we use information
We use information to:
- Provide, operate, maintain, and improve the Service
- Authenticate users (Google OAuth + 2FA) and protect accounts
- Process subscriptions and billing via Stripe
- Connect to mail systems you authorize and run hands-off warmup jobs
- Generate or refine short human-like warmup message text via AI providers
- Display dashboards, metrics, and job history
- Prevent fraud, abuse, unauthorized access, and free-tier or subscription abuse
- Comply with law, enforce Terms, and respond to support requests
- Communicate service-related notices (security, billing, material changes)
4. Artificial intelligence processing
To produce natural-sounding warmup copy and replies (including stripping common AI tells such as em dashes where applicable), message-related text and limited context may be sent to third-party AI providers (for example OpenAI, Anthropic, xAI/Grok, or similar). Do not place secrets, private personal data of third parties, or regulated data in fields or message content you do not want processed by those providers. AI output is advisory automation only and does not guarantee deliverability.
5. How we share information
We share data only as needed to run the Service:
- Google — authentication (OAuth)
- Stripe — payment processing and subscription management
- AI API providers — generation of warmup/reply text as described above
- Hosting and infrastructure — servers, DNS, TLS, logging for emailfiredomain.com
- Professional advisors or authorities — when required by law or to protect rights and safety
We do not sell your personal information. We do not rent your SMTP credentials or domain list as a marketing product.
6. Cookies and similar technologies
We use:
- Essential session cookies (e.g. signed login session)
- Short-lived OAuth/2FA state cookies
- Security and abuse-prevention signals
You can control cookies in your browser; blocking essential cookies may prevent login or dashboard use.
7. Data retention
We retain account, domain, connection, job, and event data while your account is active and as reasonably necessary for billing, security, dispute resolution, and legal compliance. You may request deletion by contacting support@emailfiredomain.com. We may retain limited records where we must (e.g. tax, fraud prevention, legal holds). After deletion, residual backups may persist for a limited period before purge.
8. Security
We use HTTPS, HttpOnly Secure cookies where applicable, server-side session signing, and mandatory TOTP 2FA after Google sign-in. No method of transmission or storage is 100% secure. You are responsible for securing your Google account, authenticator device, and mailbox credentials. If you believe your account is compromised, email support@emailfiredomain.com immediately.
9. International transfers
The Service may be hosted and processed in the United States or other locations where our providers operate. By using the Service you understand your information may be transferred to and processed in jurisdictions that may have different data-protection laws than your own.
10. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, or restrict certain processing of personal data, or to object to certain uses. To exercise rights, contact support@emailfiredomain.com. We may need to verify your identity (e.g. control of the account email).
You may disconnect Google access via your Google account permissions settings; doing so may prevent further login until you reconnect.
11. Children
The Service is not directed to children under 16 (or the age of digital consent in your jurisdiction). Do not use Email Fire Domain if you are under that age. We do not knowingly collect personal information from children.
12. Third-party sites and services
The Service may link to third parties (Stripe Checkout, Google accounts, documentation). Their privacy practices are governed by their own policies. We are not responsible for third-party sites or services.
13. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date will change when we do. Material changes may be highlighted on the site or via email when appropriate. Continued use of the Service after changes means you accept the revised policy.
